Summary of Position

Evergreen is looking for a full-time Trails Program Manager for the western part of the state to oversee trail projects.

The Trails Program Manager (PM) will collaborate with Evergreen’s Executive Director, Trails Director, Finance Manager, chapter representatives, Trail Crew Leads, and clients to manage and oversee the performance of trail construction and maintenance projects.

The PM will oversee and lead trail project teams through the entire construction project lifecycle, including executing the scope of work, mobilization, crew scheduling, budget tracking, invoicing, and preparing summary reports. The PM will coordinate with the trail crew and Evergreen’s volunteer community to ensure that community match requirements, volunteer hour reports, and volunteer work parties are scheduled and completed on time.

Evergreen’s Trails Program Managers collaborate closely with staff, chapter representatives, current and potential project clients, and volunteers to effectively plan, monitor, and execute trail projects, grants, and maintenance agreements. Guided by the Trails Program Director, this role will support trail projects and contracts throughout all stages, including project scope development, budget monitoring, trail system design support, crew mobilization and scheduling, issue resolution, and project performance reporting.

Additionally, Evergreen’s Program Managers manage daily interactions with trail crew projects and oversee all match contributions. This includes collaborating with Evergreen’s Volunteer Program Manager to engage the volunteer community and ensure that all project and grant match requirements are met.

Working at Evergreen

The Evergreen Mountain Bike Alliance was originally formed over 30 years ago in response to the need for rider advocacy and trails in the Seattle area. Now a statewide organization, we continue to rely on our volunteer trail builders and chapter leaders to deliver our organization's mission and vision, with the administrative team supporting that work. Our workplace is mostly hybrid, with an office in North Bend, WA. The team culture is centered on cross-departmental collaboration, effective communication, diligence, and hustle, as well as maintaining a healthy balance between life and professional priorities. We are also a team of avid riders, outdoor recreationists, and lovers of our wild places.

This is a full-time position requiring evenings and weekends, including travel throughout Washington State to attend meetings, site visits, seminars, and organizational events. This position reports to the Trails Program Director.

Key Responsibilities

  • Assist the Trails Program Director and Executive Director in trail project planning and contract development with land managers, partners, and clients.
  • Oversee, manage, and collaborate with the trail crew on project scheduling, mobilization, equipment allocations and rentals, and volunteer engagement tasks.
  • Frequently communicate with the Trails Director on project progress, issue resolution, budget concerns, match obligations, and staffing plans to ensure on-time project scope delivery and excellence in client service.
  • Provide regular status reports (including maps and spreadsheets when required) to clients, Trails Director, Evergreen’s membership community, and/or other stakeholders.
  • Attend on-site meetings with clients to review project progress, resolve issues, and ensure quality assurance.
  • Prepare project invoices in collaboration with the Finance Director.
  • Oversee trail crew time and expense reporting and manage and approve time and expense reports related to programs and projects.
  • Work with Project Managers and/or Crew Leads to ensure billing and project progress reporting is on track.
  • Work with the trail crew to ensure a welcoming and inviting atmosphere, with the goal of increasing access to the outdoors for all people.
  • Assist Crew Leads and the Volunteer Program Manager in work party logistics, including equipment, tools, snacks, and sign-in sheets management.
  • Recruit, hire, and train new trail builders and crew leads as needed.
  • Assist Evergreen Admin staff with periodic all-staff events, volunteer community events, and meetings when needed, such as member meetings, Mountain Bike Festival, or chapter fundraising events.
  • Represent Evergreen & the sport of mountain biking in a positive, professional manner at all times.

As a lean non-profit organization with a small team, additional duties may be assigned beyond what is listed above according to the organization's needs. Hours are flexible and will require periodic evening and weekend work.

Minimum Qualifications

  • Minimum 2 years of experience in project management, such as trail planning, construction, crew leadership, or recreation infrastructure management.
  • Demonstrated ability to coordinate teams and support multi-phase projects, including tracking multiple funding sources.
  • Working knowledge of mountain bike and multi-use trail construction techniques, environmental compliance, and permitting processes.
  • Basic financial and contract management skills, including experience assisting with procurement and grant reporting.
  • Experience collaborating on land use planning, recreation projects, or nonprofit programs.
  • Familiarity with state and federal recreation funding programs preferred.
  • Strong communication and interpersonal skills; ability to build positive working relationships with staff, partners, and the public.
  • Proficiency in Microsoft Office and Google Workspace.
  • Valid driver's license, clean driving record, and access to reliable transportation.
  • Residency in Washington State.
  • Ability to pass a background check; results considered on a case-by-case basis.

Employment Details

The Trails Program Manager is a full-time, non-exempt position with flexible work hours and the ability to work hybrid. This full-time position requires availability on evenings and weekends and reports to the Trails Program Director. Due to the nature of the work, a dependable and high-speed internet connection is required, regardless of your location, during working hours.

  • Holidays: 11 paid holidays per calendar year.
  • Paid Time Off (PTO): Employee will accrue PTO at the rate of 160 hours per year, equivalent to 20 days per year, prorated based on start date and hours worked.
  • Medical, Dental, Vision, and Life Insurance:  Coverage is available to Employees in accordance with the Employer’s group health plan policies. The employer will contribute 75% toward premiums for eligible medical, dental, and vision coverage.
  • 401(k) Retirement Plan:  Employee will be eligible to participate in Evergreen’s 401(k) retirement plan after 90 days of employment, including any matching contributions as provided by the plan.
  • Technology Stipend: $35 per pay period for communications stipend to cover mobile phone and internet account assistance, as outlined in the Employee Handbook.
  • Technology Reimbursement: Evergreen employees collaborate on their own computers, using Google Suite. A one-time start-up technology purchase reimbursement of $700 for a new employee's home office and/or technology set-up. Annual tech upgrades of up to $500 upon pre-approval, based on yearly equipment needs and requests.
  • Continued Education Reimbursement: Up to $1,500 annual reimbursement for continued education as outlined in the Employee Handbook.
  • Personal Workwear Reimbursement: Up to $200 annual reimbursement for personal workwear as outlined in the Employee Handbook.
  • Mileage Reimbursement: Employee shall be reimbursed for mileage driven in a personal vehicle while performing work-related duties, excluding ordinary commuting to and from Employee’s primary work location. Reimbursement will be made at the IRS standard mileage rate, subject to submission of appropriate documentation and compliance with Evergreen’s travel and reimbursement policies. Mileage reimbursements for meetings and events across the state and outside of regular non-reimbursable commute travel to the office.
  • Access to Pro Deals: Employee may be granted access to industry pro deal programs as a benefit of employment. Participation is subject to availability, eligibility requirements, and compliance with each vendor’s terms and conditions.

Location:  North Bend, WA. Hybrid work is permitted, with one day per week required at the North Bend office. Candidates from North Bend and Seattle are preferred.  Attendance at mandatory in-person planning meetings and retreats is required, along with participation in Board retreats held at various locations around the state.
